Senior Estate Administration Officer in Toronto manages charitable estate gifts, legal documentation, and donor relationships for St. Michael's and Providence Foundation.
Reporting to the Director, Gift & Estate Planning, this full-time permanent role administers estate files from notification through distribution. The position supports estate accounting, charitable receipting, CRA requirements, reporting, documentation, and stewardship. It also contributes to process improvements, special projects, and operational guidance for Foundation colleagues.
Key Responsibilities:
- Manage charitable estate gifts through final distribution
- Coordinate executors, trustees, lawyers, families, and financial institutions
- Review probate documents, estate accounts, releases, and correspondence
- Monitor risks, deadlines, documentation, and compliance requirements
- Maintain Raiser's Edge records and prepare financial reports
Requirements:
- Bachelor's degree or equivalent education and experience
- Three to five years in estate administration or related fields
- Knowledge of probate, trusts, and charitable estate administration
- Advanced Microsoft Office proficiency, particularly Excel
- Strong analytical, organizational, communication, and relationship-building skills
