  • Prepare and submit expense reports and manage other executive administrative requirements.
  • Draft and manage confidential correspondence, communications, presentations, and meeting materials.
  • Serve as a key point of contact for internal and external stakeholders, handling sensitive and high priority matters with professionalism and discretion.
  • Plan and coordinate executive-level meetings, leadership activities, and external engagements.
  • Anticipate executive needs, proactively address scheduling conflicts and priorities, and ensure timely follow-up on commitments and action items.

Administrative & Operational Support:

  • Prepare professional communications, including emails, memos, letters, presentations, and other executive materials.
  • Review incoming correspondence, submissions, and reports, identifying priorities and coordinating appropriate follow-up.
  • Track outstanding action items, invitations, correspondence, approvals, and documents requiring signature.
  • Handle confidential and sensitive information with a high degree of discretion and sound judgment.
  • Use Microsoft Dynamics 365 (D365) to manage purchase requisitions and process invoices.
  • Coordinate meetings and logistics to support the smooth execution of day-to-day priorities.
  • Support office and departmental activities, including planning, moves, and other administrative requirements.
  • Identify opportunities to improve administrative processes and ways of working.

Stakeholder Engagement & Event Coordination:

  • Build strong, collaborative relationships with executives, leaders, and administrative teams across Canada and the United States.
  • Coordinate executive and business events, ensuring seamless planning, communication, and execution.
  • Represent the SVP & COO’s office professionally in interactions with internal and external stakeholders.

Minimum Qualifications:

  • Highly organized and detail-oriented, with a resourceful and solutions-focused approach.
  • Proactive and self-motivated, with the ability to anticipate needs and take initiative.
  • Ability to work independently with minimal direction while remaining connected to broader business priorities.
